A useful freight quote starts with a clear shipment brief. Missing cargo information, unclear appointment windows or overlooked site requirements can turn a simple discussion into repeated follow-up. Use this checklist to organize the essentials before requesting a review.
1. Describe the freight accurately.
Start with the commodity, packaging and total shipment weight. Add the number of pallets or handling units and the dimensions of each unit. If the freight cannot be stacked or has unusual loading requirements, make those details clear.
A short description such as “general freight” may leave important questions unanswered. Specific information gives the carrier a better basis for equipment and suitability discussions.
2. Define both ends of the lane.
Include the pickup and delivery facility names, locations and postal codes. Note any access restrictions, appointment rules, loading arrangements or receiving instructions. A city-to-city route is a useful starting point, but facility-level detail helps refine the transport discussion.
3. Make the schedule explicit.
Provide requested dates, appointment windows and the relevant time zones. Distinguish a preferred time from a firm appointment. If you have flexibility, describe the available window so it can be considered during the review.
4. Add equipment and handling instructions.
State known equipment requirements and any special cargo instructions. For temperature-sensitive freight, include the shipper’s written instructions and requested set point. Avoid assuming that a particular trailer, operating range or monitoring arrangement is available.
5. Explain the business context.
Tell the carrier whether you are discussing one load, a recurring lane or a future project. For recurring requirements, include the expected frequency and typical shipment size. Provide a suitable contact who can answer questions about the brief.
6. Confirm the arrangements before booking.
An inquiry does not reserve a truck or establish a transport agreement. Equipment suitability, operating authority, capacity, schedule, rate and terms need separate confirmation. Keep the confirmed arrangements and any final instructions together for the shipment.
