Freight Planning Guide

Plan temperature-sensitive
freight with clearer instructions.

A practical guide to the details and questions that belong in a refrigerated freight discussion.

Temperature-sensitive freight planning should begin with instructions from the shipper or product owner. A carrier needs an accurate description of the product requirements before deciding whether suitable equipment and scheduling can be arranged. This guide helps structure that conversation; it does not prescribe a product temperature or handling standard.

Start with the product instructions.

Gather the written handling instructions, requested set point and measurement units. Include any product-specific restrictions or permitted variation supplied by the shipper. Do not infer a suitable temperature from a general product category or from a previous shipment.

If instructions are incomplete or conflict, resolve the question with the responsible product contact before transport arrangements are confirmed.

Describe the cargo and packaging.

Provide the commodity, packaging, pallet or handling-unit count, dimensions and total weight. Note any loading requirements that could affect equipment suitability. The transport discussion should consider the actual shipment, not only the requested temperature.

Make loading and receiving requirements clear.

Share both facilities, appointment windows, time zones and expected loading readiness. Include dock or access instructions and the appropriate contacts. Temperature-sensitive handling requirements should be communicated to the relevant parties before the load is accepted.

Confirm the equipment and reporting arrangements.

Ask which equipment, operating range and monitoring arrangements can be supported for the shipment. If temperature records, status updates or other reporting are required, discuss them explicitly. A general refrigerated freight inquiry does not establish a particular monitoring or reporting service.

Agree how questions and exceptions will be handled.

Identify a contact for questions about the product instructions and a contact for scheduling. Confirm how changes or exceptions should be communicated and which documents should accompany the load. Clear responsibilities help keep the transport plan understandable.

Keep the final instructions with the confirmed plan.

Use the final agreed cargo, route, timing and equipment information as the shipment reference. Acceptance remains subject to suitable equipment, operating authority, available capacity and scheduling. Preparing a brief does not itself book transportation.
